In terms of how you invest your time each day, Clockify enables you to manually “clock in” and “clock out” of tasks completed offline. It also syncs with your computer and mobile devices to automatically track your digital use.

Downside: Clockify is an excellent introduction to digital time management tools, but the overall features are rudimentary. It’s also the least visually engaging option of the apps on this list.

#2 RescueTime

RescuTime tracks your website and app use across all devices that you use during the work day. This includes your mobile, notebook, laptop, and desktop. It also tracks the projects you’re working on, helping you to better estimate the time required for recurring tasks. 

If you find that you’re spending more time on distracting activities (such as YouTube, blogs, or social media) RescuTimer allows you to block your top distractions during designated hours. The use of distracting websites and apps is habitual, so blocking them helps you break your habit. 

Downside: RescuTimer is best utilised for professions with primarily digital workflows.

#3 Todoist

Todoist is similar to RescueTime, but has a few advanced features. This includes the ability to add scheduled meetings, pre-schedule recurring tasks, add task deadlines, and prioritise your task list. 

The built-in project management features make Todoist one of the best time management apps of 2025. Beyond managing your time, you can create solo and shared projects, assign tasks, and accept tasks assigned by other team members. This can include tasks geared toward developing your team. Project progress and workflows are visualized on a shared Kanban board. 

To minimise scheduling and data entry redundancies, Todoist integrates with over 80 apps and software systems.  

Downside: Todoist may not be the best PM tool if your project count exceeds 20 or if you require advanced project management capabilities.

  • Free for 5 projects, with limited features
  • £5 per month for full features
  • £8 for each team member

#4 Motion 

Motion is an AI-enabled calendar assistant. It’s designed to fill every hour of your work day, so you’ll need to factor in time for things you may not typically put on your to-do list. For example, responding to emails and completing other administrative tasks. When inputting your new and recurring tasks, you’ll be prompted to prioritize the task, define how long the task takes, and set a scheduled deadline. 

Once your tasks for the week are in, sync Motion with your calendars to ensure meetings, breaks, and lunch are automatically blocked out. Then, Motion will automatically fill in your schedule for the week. As tasks are completed, new tasks are added, or meetings are cancelled, Motion automatically updates your calendar. 

If a task is added to a day or time that doesn’t work for you, just drag and drop it to your preferred day and time, and Motion will adjust your calendar accordingly.

Downside: AI time management tools automatically update when things don’t go as planned. So, keep a close eye on your schedule to ensure you’re apprised of the most recent changes.

#5 Reclaimai

Reclaimai offers somewhat similar features and functions as Motion, but is designed with team functionality in mind. This includes goal setting, goal tracking, and advanced meeting tools. From scheduling team meetings when it’s best for everyone to limiting the number of meetings per day, including Zoom meeting links, and factoring in travel time for out-of-office meetings. 

A few other advantages of Reclaimai include the ability to:

  • Schedule daily, weekly, and monthly recurring tasks.
  • Input the time of day you prefer to complete specific tasks.
  • Automatically schedule lunch and breaks.
  • Advanced time-blocking features for larger projects.
  • Syncs with more PM tools than Motion to minimize redundancies. 

Downside: As you or other team members add, change, cancel, or update tasks and meeting times, your schedule automatically updates. The automated changes may not be moved to ideal days or times, so you must check your schedule frequently.
